What Is an RSVP Call? How to Confirm Guests by Phone

What an RSVP (LCV) call is, how it differs from a confirmation call, when to make it, a 5-step call flow, a sample script and the call outcomes to record.

Biletora Event Operations Team

An RSVP call is a phone call asking a guest whether they will attend an event and how many people will come. It is usually made to guests who did not reply to the invitation or WhatsApp message, and the result is written into the final headcount. In Turkey these calls are known as LCV calls.

When is an RSVP call made?

RSVP calls follow written invitations and reminders. The invitation goes out via WhatsApp or SMS first; guests who still have not replied close to the deadline are called, which limits phone traffic to the non-responding group.

How is an RSVP call made? 5 steps

  1. Introduction: the caller says their name and on whose behalf they are calling.
  2. Reminder: the event name, date and venue are mentioned briefly.
  3. Attendance: the guest is asked whether they will attend and how many will come, within the invited party size.
  4. Details: allergies, children or special notes are noted.
  5. Record: the call is closed with a call outcome and written to the guest list.

Call outcomes

At Biletora each call is closed with one of 5 outcomes: Not Reached (called again later), Attending and Not Attending (the RSVP record updates), Later (moved to the callback queue) and Refer to Owner (routed to the event owner). Guests not reached 3 times are collected in a separate list for dedicated follow-up.

Should you call guests yourself or use an RSVP service?

For short guest lists the family or team can make the calls. For weddings with hundreds of guests, or event companies running several events a week, an RSVP service saves days of calling. At Biletora calls are made only for guests who did not respond via WhatsApp, in your firm's name, and are recorded. See the RSVP call center service.
