What is an RSVP system?

An RSVP system is an attendance management layer that collects each guest's status across three states, Attending, Not Attending and Tentative, and updates responses in real time. When a guest changes their reply, the system writes the new status to the panel instantly and updates the previous record. Biletora also records the source of each response: digital link, manual entry or call center. This makes it possible to tell who replied and through which channel.

How do response source and status tracking work?

Response source tracking works by tagging every RSVP record as digital link, manual or call center. When a guest replies from the invite link sent via WhatsApp or SMS, the record is tagged digital; when the team enters a reply by hand, it is tagged manual; when the call center reaches the guest, it is tagged call center. The date of each response is recorded, so the current status and change history are tracked. Guests left Tentative are filtered and called by the call center.

How are +1 allowances, allergen and child-guest details managed?

In the Biletora RSVP system, each guest reports the attendee count by adding companions up to their granted +1 allowance. While replying, the guest also enters details such as allergen information and whether there are child guests; this data lands in the panel for catering and seating planning.
