Manage Guests and Invitees from One Panel

Guest and invitee management is the gathering, grouping, and attendance tracking of your guest list in one panel. Biletora manages the guest list down to the table level with bulk add, Excel and phone-contacts import, guest groups, guest notes, child guests, and +1 allowances. The panel runs on Web, iOS (App Store), and Android (Google Play); all personal data is processed under Turkey's KVKK (Law No. 6698 on the Protection of Personal Data).

How is the guest list created and bulk-added?

The guest list is created by adding guests one by one or importing them in bulk from an Excel file and phone contacts. You upload hundreds of guests at once and enter a name, surname, phone number, and table number for each record. Phone numbers are normalized automatically to the +90 country code and 5XXXXXXXXX format, and duplicate or invalid numbers are filtered out. Guests without a number are added too; the invitation is delivered by hand instead of WhatsApp or SMS, and the record is kept in the panel.

What do guest groups and guest notes do?

Guest groups split the list into categories such as family, friends, and corporate guests to enable filtering and seating planning. You assign each guest to a table and see table occupancy (assigned/capacity and percentage) in real time. Guest notes attach guest-specific details — dietary restrictions, transport, kinship — to the record. Across weddings, engagements, henna nights, and corporate events, name and surname search works with Turkish character normalization.

How do child guests, invite limits, and +1 allowances work?

A child guest is marked at registration and kept separate in the headcount and seating plan. You define a party size per guest (including themselves: +1, +2, +3) and enter the name and surname of each additional guest. The invite limit checks the total party count against your event capacity and blocks overflow. This structure fixes the exact headcount before catering and the table plan.

How does guest management integrate with the invitation and RSVP?

Guest management works in the same panel as digital invitations and QR invitations; the guest list is the source for invite distribution and RSVP tracking. The invitation is distributed via WhatsApp, SMS, link, and QR code, and RSVP (LCV, Please Reply) responses land instantly as attending, not attending, and did-not-attend. At the door, arriving guests are recorded by scanning the QR code, and table occupancy updates. Data is managed from anywhere, including Istanbul, Ankara, Izmir, Antalya, and Bursa, on Web, iOS, and Android.

Frequently Asked Questions

Can I bulk-add the guest list from Excel?+

Yes. You import the guest list in bulk from an Excel file and phone contacts; each record takes a name, surname, phone, and table number. Phone numbers are normalized automatically to the +90 and 5XXXXXXXXX format.

Can I add a guest without a phone number?+

Yes, a guest without a number is added to the list and counted in the headcount. The invitation is delivered by hand instead of WhatsApp or SMS, and the guest's attendance and table details are kept in the panel.

How are child guests and +1 allowances defined?+

A child guest is marked at registration; for a +1 allowance you enter the party size (including themselves: 1, 2, 3...) and add the name and surname of each additional guest. The invite limit checks the total party count against your event capacity.

Is guest data secure?+

Guest data is processed under Turkey's KVKK (Law No. 6698 on the Protection of Personal Data). The guest list, notes, and attendance records are visible only to authorized panel users; data is used for event management and RSVP tracking.
