An RSVP system for large weddings collects the replies of hundreds of guests in one list, follows up with those who do not respond and moves the final headcount into the seating plan. Running RSVPs for 500 or 1,000 guests from family members' phones takes days: some guests are called twice, others never, and the number given to the venue remains a guess.

Why do large weddings need a different RSVP setup?

Three things change with size. Volume: replies must first be collected in writing instead of by phone. Fragmentation: the list is split between the two families and friend groups, which causes duplicates and missed guests. Party size: one invitation often covers a whole family, and extra guests quickly push the venue over capacity.

Organize the list by side and group

Keep one list with the side (bride or groom), group and invited party size for every guest. Close family can be marked as attending directly, so no invitation or communication fee is needed for them.

Send invitations and follow up

Invitations go out via WhatsApp with a personal RSVP link; if WhatsApp cannot be delivered, the invitation is sent by SMS. Event reminders are sent automatically 10, 5 and 2 days before the event. Control party size

Each guest gets an attendance allowance and cannot reply with more people than invited. Because the phone number is verified against the guest list, a forwarded link cannot be used by someone who is not on the list.

Seating and check-in

Attending guests become assignable in the seating plan with their party size. Tables are created with capacities, over-capacity assignments are blocked and large families can be split across tables. On the day, table details are sent by SMS, guests find their table by scanning a QR code, and personal QR codes are scanned at the entrance while the number of guests inside is tracked live.
